This policy explains how WMS INC DBA Wired Media Solutions handles data in connection with its private QuickBooks Online integration ("the Software"). The Software is used only internally by WMS INC DBA Wired Media Solutions and serves no external customers.
When authorized by an administrator of our QuickBooks Online company, the Software accesses accounting data in that company file via Intuit's QuickBooks Online API. This can include: company information and preferences; customer and vendor records, including names, addresses, email addresses, and phone numbers; employee records; invoices, estimates, bills, payments, credit memos, sales receipts, purchase orders, deposits, transfers, and journal entries; items and price information; time activities; tax codes and rates; attachments; and financial reports such as balance sheet, profit and loss, cash flow, general ledger, and aging reports.
Accessed data is used solely for WMS INC DBA Wired Media Solutions's internal bookkeeping, reporting, and analysis. We do not use it for advertising, we do not sell it, and we do not share it with third parties except as described in section 4.
The Software runs on WMS INC DBA Wired Media Solutions-controlled machines and queries the QuickBooks Online API on demand. It does not maintain a separate copy of the accounting database. OAuth credentials — client ID, client secret, refresh token, and company (realm) ID — are stored in a configuration file on those machines, readable only by the operating system account that runs the Software. Query results exist only transiently in memory and in local logs, which are not retained beyond operational need.
Data passes through Intuit, as the provider of QuickBooks Online, under Intuit's own terms and privacy policy. Where an authorized user runs the Software through an AI assistant, the specific data returned by a query is transmitted to that assistant's provider in order to answer the user's request, subject to that provider's terms. No other third party receives data from the Software.
Access is authorized via OAuth 2.0; the Software never receives or stores QuickBooks account passwords. All API traffic uses HTTPS. Refresh tokens rotate regularly and expire if unused. Access is limited to authorized WMS INC DBA Wired Media Solutions personnel.
A QuickBooks Online administrator can revoke the Software's access at any time under Settings → Apps → Disconnect. On revocation, stored tokens stop working and are removed from our configuration. See Disconnect.
Because the Software processes only WMS INC DBA Wired Media Solutions's own business records, requests regarding personal data appearing in those records — access, correction, or deletion — should be directed to info@wrdms.net and will be handled under applicable law.
We may update this policy; the effective date above will change accordingly.
